An import says "duplicate"

What you're seeing

⚠ Your accounting service already has a journal entry for July 28, so we haven't been able to post ours for 4 days.

Your daily email flags an import that hasn't gone through, with wording like the note above. On the import itself, the result reads DuplicateEntry, and the date shows a warning icon on your calendar rather than a green check.

Why it happens

Every day we build one journal entry per location and post it to your accounting service with its own entry number. If your accounting service tells us it already has an entry with that number, we stop rather than post a second one — double entries are much harder to unpick than a missing one. We try again each night, so it keeps appearing until it's resolved.

That almost always means one of two things:

Someone already entered that day by hand. This is the common one. The entry in your books is the real one, and ours would be a duplicate of it. Nothing is missing, and the import doesn't need to run.

The entry number collided with something else. Rarer, and it means the day's sales may genuinely not be in your books yet. If this is your case, don't follow the steps below — see When to ask us instead.

Sorting this out takes a couple of minutes and one look at your accounting service. The last step can't be undone, so the first step is checking which case you're in.

How to fix it

  1. Note the date on the stuck import — it's in your daily email and at the top of the import page.
  2. Open your accounting service and find that date in your journal. If the entry there matches your sales for that day, your books are correct and the import doesn't need to run. If you can't find it, stop here and read When to ask us instead.
  3. Open that import and click Cancel this import on the yellow banner. We'll ask you to confirm.
  4. That's it — nothing else to do, and no need to write to us. If you'd rather we did it, reply to your daily email or write to YourFriends@sufficientlyadvancedmagic.com with the date.

Once it's cancelled, the import stops appearing in your daily email. Cancelling affects only that one day — tomorrow's import runs normally.

When to ask us instead

If you couldn't find that date in your books, the day's sales may genuinely be missing. Don't cancel the import. Reply to your daily email, or write to YourFriends@sufficientlyadvancedmagic.com, and tell us the date — that's a case we want to look at, not close.
